Procurement and Operations Associate, Packaging

Our client, a NYC boutique packaging design firm, is seeking an experienced Procurement and Operations Specialist to join their team ASAP. This entirely onsite role is open to candidates in the New York Metropolitan area and requires a comprehensive background in managing procurement processes for both domestic and import customs projects. The position involves working collaboratively with Account Managers, the Managing Director, and internal and external teams to ensure seamless project execution from order placement through delivery. As a key player in operations, you will manage project information, timelines, and next steps, driving the completion of all tasks. The ideal candidate is highly intuitive, detail-oriented, and able to anticipate needs with minimal oversight.

 

Responsibilities

 

  • Production Workflow Management: Oversee daily tasks, meet deadlines, and update clients.
  • Order Processing: Handle daily orders, coordinate with teams and vendors.
  • Vendor Coordination: Talk to vendors, get quotes, develop samples.
  • Pre-Production Oversight: Manage sample requests, testing, and quality checks.
  • Purchase Order Management: Prepare and track purchase orders.
  • Vendor Relationships: Build good vendor relationships and negotiate terms.
  • Pricing Support: Help sales with quotes and pricing.
  • Delivery Tracking: Monitor progress and update on delivery status.
  • Shipping Coordination: Organize shipments for timely delivery.

Qualifications

 

  • Bachelor’s degree (preferred).
  • 5-6 years of experience in production, preferably in the custom packaging industry or a similar field.
  • Proficiency in Microsoft Office Suite, particularly Word and Excel.
  • Exceptional attention to detail, with the ability to multitask and prioritize in a dynamic environment.
  • Quick learner with the ability to adapt to new systems and processes.
  • Strong verbal and written communication skills.
  • Proven ability to anticipate needs and take initiative with minimal supervision.
  • Excellent organizational and problem-solving abilities, capable of managing multiple projects simultaneously.
  • A customer-focused approach, fostering positive relationships with clients, vendors, and team members.
