Elysian Staffing is seeking an Operations Coordinator to join our growing team and help us deliver on our mission of empowering creatives to live their dreams through exceptional recruiting, coaching, and consulting services.
This role is ideal for someone who thrives on structure, enjoys connecting the dots across departments, and loves making things run smoother and smarter. As Operations Coordinator, you’ll work closely with the CEO to help implement the company’s vision and ensure our day-to-day business operations run with excellence and integrity.
This is a hybrid position based in Richmond, VA, with a combination of remote work and in-person meetings or work sessions as needed.
RESPONSIBILITIES
Strategic Support & Vision Execution

Partner with the CEO to translate strategic goals into operational plans and workflows

Assist in tracking key business metrics, action items, and project timelines

Help coordinate internal initiatives across departments (recruiting, coaching, consulting)

Serve as a point of coordination for internal and external stakeholders
Payroll & HR Administration

Manage contractor payroll processes and timelines using platforms like Gusto or similar
-
Track hours and rates for talent placements and ensure accurate and timely payment
-
Support onboarding and offboarding of freelancers and internal hires

Maintain confidential HR records and help coordinate compliance and legal documentation
Operational Management

Optimize internal systems and workflows to support recruiting and coaching operations

Maintain and update documents, SOPs, and onboarding materials

Assist with invoicing, expense tracking, and vendor coordination

Provide administrative support including scheduling, recordkeeping, and general coordination

Coordinate CRM and ATS data management, ensuring accuracy and up-to-date information
QUALIFICATIONS

2–3 years of experience in operations, project coordination, HR, or a related role

Strong organizational skills with attention to detail and follow-through

Proficient in tools like Google Workspace, Slack, Gusto, Airtable, and CRM/ATS platforms (or willing to learn quickly)

Excellent written and verbal communication skills

Ability to prioritize tasks, adapt to changing needs, and solve problems proactively

High degree of integrity and commitment to confidentiality and accuracy

A self-starter mindset—comfortable working both independently and collaboratively

Coachable, collaborative, and motivated to grow alongside the business

Must be located in the Richmond, VA area and available for in-person meetings as needed
